Using Plug In technology to fine tune your Blackbaud System

Are you spending time and energy manually exporting information from various systems in order to work with the data and then import it into either your Raiser’s Edge or Financial Edge system?  You don’t have to!  Your time is better spent analyzing the data and there could be considerable time to be gained by fine-tuning your systems with plug ins.

Since the release of Financial Edge and Raiser’s Edge, Blackbaud has provided developers with plug in technology to help nonprofits minimize manual processes by automating them.  Plug ins are an add on to your Blackbaud systems that runs within Raiser’s Edge or Financial Edge and extends or enhances the functionality of your system by automating the sharing and presentation of data coming from other software solutions used by your nonprofit.

We’ve written dozens and dozens of plug ins for our customers.  We use the plug in technology to develop a program that utilizes the Blackbaud Application Program Interface (APIs). The majority, if not all, of the manual processes you previously struggled with will now run automatically within Blackbaud – you’ll see an icon within the Blackbaud menu that represents the plug in.  Some operations might still require some manual intervention by the end user, but this is usually something minor like indicating date ranges or indicating a path to a file.

You’ve probably heard accounts of nonprofits with highly customized systems that were unable to upgrade their software because of the changes the customizations made to the system code.  Plug ins, while creating customization-like capabilities for the unique requirements of your nonprofit, are a safer option than traditional customizations because they adhere to the Blackbaud APIs.  The use of plug ins eliminates this risk because it complies to Blackbaud’s protocols, allowing you to upgrade with confidence that your system will work as it should.

Sometimes organizations will abandon a deeper dive into exploring their data because the process is just too time-consuming and cumbersome – unfortunately this may mean that they are sacrificing an opportunity to go after additional funding.  It is extremely satisfying to develop a plug in that makes a nonprofit more competitive – enabling them to better ensure their existing funding as well as increasing the odds of gaining new funding sources.

Take a moment to reflect on the amount of manual work you are doing or perhaps a project that is routinely avoided because it would take too much of your time.   We can provide a consultation to evaluate how these efforts might be automated through plug ins.  Sometimes we discover that there is already reporting available within Raiser’s Edge or Financial Edge that will deliver what you need and we can provide training on that.  But if in fact it is something that is not handled by the system, we can do the programming necessary to give you the functionality you need to be more efficient.

Getting the Most Out of Your Raiser’s Edge Fundraising Database

You’ve invested in a powerful, top of the line fundraising database.  It is no exaggeration to state that Raiser’s Edge is a superstar solution in the development world.  It’s also no exaggeration to say that many organizations simply do not utilize Raiser’s Edge as productively as they could and the features that could be of most benefit to the organization go unused.

It could be that system users were not trained properly or that there has been turnover in staff.  It may be that end users don’t want to step outside of their comfort zone and stretch their system skills.  Regardless of the cause, here are some signs that system proficiency within your organization may be lacking:

  • When generating acknowledgement and receipts, staff members are cutting and pasting donor information from the database in a manual fashion.
  • Hours and hours are required to create reports for Board Meetings because end users are running queries and exporting that data for manual report creation.
  • Some or all electronic donor communication is being handled outside of the system which leads to an incomplete history of communication or the need to extract data from multiple systems to create a complete archive of donor communication.

  • Raiser’s Edge can completely automate the acknowledgement of gifts and receipts.
  • Familiarity with the standard reports provided through Raiser’s Edge would reduce report creation from days and hours to minutes.
  • Understanding how the system tracks donor communication provides a comprehensive archive in one place and house data for analysis on critical metrics and donor preferences – information that is critical to the department’s strategic analysis and planning.

When Does It Make Sense to Move Your Organization to a True Nonprofit Accounting System?

In the early days, that off-the-shelf accounting software may have served your nonprofit well.  Given the cost, it did the basics and when faced with a reporting request that was outside of its capabilities, you were able to create a spreadsheet and manually produce the needed information.

As the years went by, there was a noticeable shift in how you were spending your time; suddenly there are dozens of spreadsheets and the days are consumed with maintaining and updating them.  The process is daunting and cumbersome; and worse the nagging feeling that with so much data manipulation, the information is subject to error.  With each new grant and variety of restricted funds and terms outlining allowable allocations/spending, the time needed for reporting increases.

Status check:  Are you spending more time on report creation than educated decision-making?

In working exclusively with nonprofits, the Capital Business Solutions team has found that the first sign of having outgrown your accounting system is when you are spending more time creating reports than making strategic organizational decisions based on the reports.
